HCPRegistry

Privacy Policy

Last updated: 26 October 2026

1. Who is responsible for your information?

BAIT MARJ PORTAL, United Arab Emirates, operates HCPRegistry and is responsible for personal information used to run the platform. Contact info@hcpregistry.com for privacy questions, requests or complaints.

2. Information we handle

  • Account information: name, email, account role, login credentials protected by the platform’s password system, and email-confirmation and account-status records.
  • Professional and hiring information: information you submit, including profile photo, contact details, country, languages, qualifications, work history, specialties, licenses, documents, CV, visibility choices, employer details, vacancies and applications.
  • Contributions and activity: articles, author biographies, submitted files, saved reading lists and activity needed to provide access and administer the service.
  • Billing records: Stripe customer, subscription, invoice and payment references; plan, payment status, amounts, refunds and subscription dates. Stripe collects payment details through its payment interfaces; the supplied HCPRegistry integration does not store full card numbers or security codes.
  • Readership records: qualifying reads link a subscriber account, article, publisher, invoice, month and read timestamp. These support the experimental publisher allocation calculation and duplicate-read controls.
  • Technical and support information: browser requests, IP addresses and server/security logs handled by hosting or service providers, session information, and messages you send us.

Please do not submit patient-identifying information, confidential clinical records or unnecessary sensitive information in profiles, articles, CVs or support messages.

3. Why we use information

We use information to create and secure accounts; display profiles according to your permissions; provide search, applications and reading access; process and reconcile subscriptions; administer publisher estimates; respond to requests; prevent misuse; and meet applicable legal obligations. Depending on the purpose and applicable law, processing relies on your consent, performance of our agreement, legal obligations or another lawful basis available to us. Where processing relies on consent, you can withdraw it without affecting prior lawful processing.

4. Visibility, CVs and applications

Public visitors can see article titles, summaries and public author biographies. Anonymous candidate previews require a separate opt-in and publication; unusual professional details may still identify you. Named employer search requires a published profile with search visibility enabled. General CV access also requires your CV-sharing permission and the employer’s applicable access and unlock entitlement.

A job application separately grants its employer access to your current profile, account email and CV under the access rules, even if your profile is hidden from search or awaiting publication. Withdrawing the application removes that grant; other active applications or general sharing permissions may still allow access. We cannot recall copies already downloaded by employers. Contact the receiving employer about their subsequent use and retention.

Eligible subscribers can read full articles and access permitted paper downloads. Administrators can access records and files needed to operate and support the service. Publisher reporting provides earnings estimates and read totals; it is not a public list of readers.

5. Service providers and other recipients

We use GoDaddy hosting, WordPress and installed site components to operate HCPRegistry, and Stripe for subscription payment processing. Email delivery, technical support and security services may process information needed for their functions. The theme also loads fonts from Google Fonts and icons from Cloudflare’s cdnjs service; your browser connects to those providers and sends technical request information such as your IP address. Stripe’s own use of information is described in its Privacy Policy.

Information is shared with employers and readers as described above, with authorised service providers for service delivery, and where required for lawful requests, dispute resolution or protection of rights. External author payout arrangements are not yet operational; any additional recipient or banking-data requirements will be explained before that service begins.

6. Cookies, browser storage and transfers

The service uses login/session and security mechanisms and may store interface preferences in your browser. Payment and externally loaded services also receive technical information. Browser controls allow you to clear or block cookies, but some account or payment functions may stop working. Additional analytics or advertising services, if introduced, will require corresponding disclosures and any consent required by applicable law.

Hosting, payment, email and browser-resource providers may process information outside the UAE or your country. Data protection rules may differ between countries. We are responsible for applying the safeguards and transfer conditions required by the law applicable to the processing. Contact us for information about providers and safeguards relevant to your data.

7. Retention and security

Account and profile information is retained as needed to provide your account and selected services. Billing, readership, security and support records may be retained for reconciliation, disputes, fraud prevention and applicable record-keeping obligations. When no longer needed, information should be deleted or de-identified; backup copies may remain until the applicable backup cycle expires. Contact us for a deletion request or details of retention applicable to a record. Closing an account does not necessarily erase records that must lawfully be retained.

Access controls, authentication and restricted file delivery help protect information, but no online service is completely secure. Keep credentials private and notify us of suspected misuse. Never email passwords, full card details or unnecessary identity documents.

8. Your choices and rights

You can update profile information and visibility settings through your account and withdraw applications. You may request access, correction, deletion, restriction or cessation of processing, withdrawal of consent, portability or other rights available under applicable law by emailing info@hcpregistry.com. We may verify your identity proportionately before acting. We will explain any lawful limitation and respond within applicable statutory periods. You may also complain to the competent data-protection authority.

Profile matches and completion indicators help users navigate supplied information; they are not credential verification or automated hiring decisions. Employers make their own decisions. HCPRegistry is intended for adults aged 18 and above. Contact us if you believe a child’s information has been submitted.

9. Policy updates

We will update this page when our practices change and communicate material changes through the service or an appropriate account notice. Questions about this policy can be sent to info@hcpregistry.com.
